Automating customer inquiries in a small business: n8n step by step

In a small business, inquiries get lost not because someone is careless, but because they arrive at 10 p.m., on a Saturday, or while you are with a client. Automation does not replace talking to your customers. It replaces retyping, sending the same email over and over and remembering reminders. Below is the workflow I set up most often and the tools you need for it.

What n8n is

n8n is an automation tool where you connect building blocks: “when an inquiry comes in”, “add a row to a spreadsheet”, “send an email”. It works much like Zapier or Make, but you can run it on your own server. For a business, this means customer data can stay on your server, which makes GDPR compliance easier, and the cost does not grow with every operation that runs.

The workflow worth setting up first

The simplest and most cost-effective automation is handling inquiries. It has five steps.

  • Trigger: the form on your website sends the data to n8n through a webhook.
  • CRM: n8n adds the contact to a Google Sheet, Airtable or a proper CRM, with the date and source.
  • Email to the customer: an instant confirmation saying when you will reply. The customer knows the request arrived.
  • Notification for you: an SMS, an email or a phone notification with the key details.
  • Reminder: if a contact still is not marked “replied” after two days, n8n reminds you about it.

What to add next

Once the basic workflow is running, you can expand it without changing the website.

  • Qualification: an AI assistant reads the inquiry and tags it as “urgent”, “quote” or “general question”.
  • Calendar: the customer gets a link to choose a time, and the appointment goes straight into your calendar.
  • Report: on Monday morning you get a summary of how many inquiries came in, where from and how many turned into jobs.
  • Customer reminders: an SMS the day before a visit, and an email a year after a service suggesting a checkup.

How much time it saves

Work it out with your own numbers. If handling one inquiry by hand, meaning copying it into a spreadsheet, replying and setting a reminder, takes about 6 minutes, then 40 inquiries a month add up to 4 hours. An n8n workflow does it in a few seconds and never forgets. In the “Live demos” tab on my website you can see a workflow like this in action.

What to avoid

Do not automate everything at once. One working workflow, tested for two weeks, is worth more than ten half-configured ones. Do not send emails to customers without reading them, because AI can write something you would not want to put your name to. Remember error handling: if the spreadsheet is unavailable, the inquiry should reach you by email, not disappear.

Frequently asked questions

Do I need a developer to use n8n?

Not for simple workflows. For integrating with systems through an API, handling errors and running it securely on a server, it helps to have someone who has done it before.

n8n or Make?

Make is quicker to start with and does not need a server. n8n is cheaper at a high number of operations and keeps the data with you. For businesses that process customer data, I usually recommend n8n.

How much does setting up an automation like this cost?

The first inquiry-handling workflow usually takes a few days of work. I give a quote after your inquiry, depending on the tools you already have.
